Today's computer hardware and servers are designed to offer years of trouble free service. However, unforeseen circumstances can occur or these man-made machines can fail from time to time. All of Vigilant Data Protection's solutions are designed to give you the ability to recover from these events.
Most EMR users carry out their backup on a daily basis through backup tapes or hard drives. However the reality is that people do tend to forget at times to swap out the drive or carry the backup offsite. This puts you in a fair amount of risk. If there is a data related disaster you may find out that the instrument used to backup your data on is corrupted or the person designated forgets to carry out the backup. Also, if the backup is taken offsite it maybe damaged or stolen so there are many troubling possibilities.
Vigilant Data Protection's (VDP) Online Backup will compress and encrypt data before sending it to the secure server. VDP offers secure data backup software and data backup systems for online data backup.
The Encryption Key generated by VDP is known only to the customer, and is never transmitted to the Server nor is it passed on to VDP. Data is stored on the VDP Server in compressed and encrypted archives that are not accessible by the VDP staff.
VDP is an excellent choice to help companies comply with the Final Security Rule. VDP also complies with the Privacy section, even though VDP and other like providers are not "Covered Entities" as defined by the current rules, and thus are not required to comply with it.
In addition, VDP can help customers comply with other provisions of the rules as part of a larger data protection and disaster recovery plan.
HIPAA Requirements
You will be in violation of HIPAA requirements if there are no offsite copies of your EMR data. Other situations may arise such as lawsuits, loss of patient care etc. Complete patient and financial data loss: The EMR data is pertinent to the patients and the PM data is pertinent the group's finances.
Privacy Laws
You could unintentionally be in violation of privacy laws if the offsite backup is misplaced or stolen. VDP offers a safe and reliable way of maintaining a HIPAA compliant offsite copy of your data. Right before your data leaves your server, it is encrypted and compressed (which surpasses HIPAA standards) prior to transmission to our data centers. Your data will not be accessible to anyone other than yourself (not even VDP) for you will be the only one with the encryption password that you set.
